The Challenge
The client's data quality process had been serving them for a long time, but they identified the opportunity for improvement. Data entered into the system took six to ten working days to be validated - a problem, given that time-to-correction was a core KPI. The process relied on weekly Excel exports, manual file transfers, and email chains with an external validator. When users disputed findings, they had to email subject matter experts individually, creating a fragmented trail with no central tracking. Audits meant manually combing through months of files, often yielding reports on data that was already outdated.
The Solution
We developed a Data Quality Portal that automated the entire workflow and created a centralized tracking system. The portal imports the validator’s results and automatically creates and assigns tasks to operative users based on user codes. This eliminated manual file distribution and enabled daily processing instead of weekly batches.
The system handles disputes automatically. When operative users disagree with findings, the portal creates disputes and assigns them to the appropriate SME based on predefined mappings using user groups and line of business rules. All parties receive email notifications to ensure timely action. Every action is logged with timestamps and user information in a centralized database, with proof documents attached directly to tasks.
Tasks become available for review immediately upon import, eliminating the previous delay. The system includes automatic checks for aging tasks, sending notifications to responsible SMEs and administrators when items risk being forgotten. Data quality reports can be generated automatically on a daily basis, providing real-time insights into error patterns, user performance, and quality trends.
The Results
The portal we developed eliminated manual data distribution through emails and Excel sheets. We reduced review time itself by over 50% through streamlined workflows and immediate task availability. This is critical because the longer incorrect data remains in the system, the more potential harm and reputational damage it can cause. Reporting on data quality that previously took up to two months to reach review now takes up to three days - a 20x improvement.
